Job Title: Program Assistant
Department: Educator Certification Program
Wage/Hour Status: Non-exempt; Full-time; 231 days
Reports to: Director of Educator Certification Program
Pay Grade: 1
Primary Purpose: Provide quality assistance and support to the staff and participants on a daily basis
Qualifications: Secretarial training preferred
Education/Certification: High school graduate/GED
Special Knowledge/Skills:
- Possess characteristics of reliability, dependability, and enthusiasm- Effective organizational, communication, and interpersonal skills
- Proficient in word processing, database, and spreadsheet software
- Ability to manage multiple tasks in a flexible manner
- Handle critical deadlines and demonstrate initiative in difficult situations
Major Responsibilities:
-Knowledge of assigned program (s)
-Assist assigned Program Director and Coordinator (s)
-Support ESC 5 Functions-Maintain workshop registration
-Maintain budgets, order supplies, requisitions, purchase orders, invoicing, training material -Maintain a schedule of appointments and make arrangements for meetings, conferences, and travel
-Maintain workshop registration
-Maintain specific project/program budget(s)
Equipment/Specialized Software Used:
Microsoft office applications (Word and Excel), All Google applications, Purchasing software, PC/Windows, fax, copier, and various other office equipment
Working Conditions: (Mental Demands/Physical Demands/Environmental Factors):
- Light to moderate lifting
- Maintain multiple tasks and work cooperatively with others
- Maintain calm attitude in demanding situations
- Make changes and adapt to varying responsibility on an ongoing basis
- Work with frequent interruptions, tight, deadlines, and limited office space
- Maintain confidentiality
- Regular attendance is expected and required
